2. Data we process

Registration data: name, company or institution, country, phone number, email address and password (always stored encrypted, never in plain text).

Contact form data: name, email address and the content of your message.

Service usage data: date and time of access to the application and grading credit consumption, in order to manage your licence.

3. Purposes

To create and manage your user account and the access credentials for the Examio software.

To provide the contracted service, manage grading credits and offer technical support.

To respond to enquiries sent through the contact form.

To send you operational communications regarding your account (verification, renewal, incidents).

4. Legal basis

Performance of a contract or pre-contractual measures (art. 6.1.b GDPR), for account management and service provision.

Consent of the data subject (art. 6.1.a GDPR), for contact form submissions and non-essential cookies.

Legitimate interest (art. 6.1.f GDPR), to ensure system security and prevent fraudulent use.

5. Retention period

Data is retained while the account remains active and, after closure, for the periods legally required to address potential liabilities. Contact form messages are kept for as long as necessary to resolve the enquiry.

6. Recipients

Data is not transferred to third parties, except where legally required.

Certain providers access the data as data processors and solely to deliver their services: server hosting provider, email provider and the website support chat service.

The site embeds videos hosted on YouTube (Google) in enhanced privacy mode. If you play a video, that provider may receive browsing data under its own policies.

7. Your rights

You may exercise your rights of access, rectification, erasure, objection, restriction of processing and portability by writing to admin@examio.com, stating the right you wish to exercise and attaching a copy of an identity document.

You may also withdraw your consent at any time and lodge a complaint with the Spanish Data Protection Agency (www.aepd.es) if you believe the processing does not comply with the regulations.

8. Security

We apply appropriate technical and organisational measures: encrypted communication via HTTPS, passwords stored using one-way hashing functions and restricted access to the database.
